Join via your Computer

Your Lifesize Cloud Room solution provides you with the ability to join video conference calls hosted on third-party meeting services, such as Microsoft Teams®, Zoom®, Cisco Webex®, Google Meet™ and many others, using your own computer. Lifesize Cloud Room solution allows you to use the professional meeting room camera, microphone, speaker(s), and main system display instead of those built-in to your machine. This is commonly referred to as a “Bring Your Own Device” or “BYOD” meeting capability. 

Connecting Your Computer

Lifesize offers two easy-to-use solutions. The first is a simple two-cable solution. 

Press the Connect button on the Phone HD touchscreen interface to start the process. If shown, select the Join via your computer option. The system will guide you via on-screen messages to:

  1. Connect the HDMI and USB cables to your laptop computer.
  2. Configure your video and audio settings on the third-party meeting software app to select the Lifesize camera, microphone, and speaker output devices in the meeting room.

Follow the on-screen instructions to confirm each setup step.

Click Next after the cables are connected.

 Click Done once you select the appropriate audio and video devices on your computer. 

Once you have completed all the necessary steps the system will perform a simple check to verify the status of the USB and HDMI cables. If no signals are detected, the Phone HD will show an error message and requests that you re-check the cable connections. It may take a couple of seconds to reflect the signal status. 

If the signal check is successful, the system will enter ‘Join via your computer’ mode. This mode activates DND (Do Not Disturb) to automatically reject any inbound calls dialed directly to the system. This ensures that an ongoing meeting using the system camera and other devices is not disrupted. 

The second solution is equally straightforward but uses an app for your computer and a single cable connection.

Press the Connect button on the Phone HD to start the process., If shown, select the Join via your computer option. The system will guide you via on-screen messages to:

  1. Ensure you have the Lifesize Connect App installed and running on your computer. If you do not have the app, the on-screen prompts provide the URL to download the latest version using your browser.  https://getconnect.lifesize.com/latest
  2. Connect the HDMI cable to your laptop computer.
  3. Configure your video and audio settings on the third-party meeting software app to use the Lifesize camera, microphone, and speaker output devices in the meeting room.

Follow the on-screen instructions to confirm each setup step.

Click Next after the app is running.

Click Next after you confirm that the HDMI cable is connected.

Click Done once the appropriate audio and video devices have been selected on your computer. 

Once you have completed all the necessary steps the system will perform a simple check to verify the status of the HDMI cable and the peer-to-peer network connection between the Lifesize system and the Lifesize Connect App. If no signals are detected, the system may show an error message on the main display and request that you re-check the cable connection. It may take a couple of seconds to reflect the signal status. 

If the signal check is successful and the peer-to-peer connection is established, the system will enter Lifesize ‘Join via your computer’ mode. This mode activates DND (Do Not Disturb) to automatically reject any inbound calls dialed directly to the system. This ensures that an ongoing meeting using the system camera and other devices is not disrupted. 

During Your Meeting

Once ‘Join via your computer’ mode is activated, the Phone HD status LEDs illuminate purple (red + blue) to show that the microphone is active and ready to send audio to the computer. The Phone HD shows only the Camera and Volume piano key controls which allow you to move the camera position, recall a preset, or adjust the room system speaker volume. 

Microphone and video mute controls, screen sharing, and other functions should be controlled from your computer. To avoid conflicts with the software app status, you cannot mute the microphone from the Phone HD when in Connect mode. NOTE: If you disconnect any of the cables or lose network connectivity during the meeting, the ‘Join via your computer’ session will be terminated and the camera, microphone, speaker, or display output may automatically end. 

After Your Meeting

To end the session, press the back arrow and confirm that you would like to disconnect from your computer. Disconnecting the cables from your computer will also automatically terminate the ‘Join via your computer’ session, returning the device to normal operation. 

NOTE: If third-party AV peripherals are installed within the meeting room which sits in-between your computer and the video system, your ‘Join via your computer’ session may not terminate automatically. In this event, press the back arrow to manually exit this mode.

Similarly, AV peripherals can interrupt the automatic pairing between your computer and the Lifesize system if you use the Lifesize Connect App and Presentation port configuration.
